New Calendar – Quick Guide (Mechanic Scheduling, Capacity & Drag + Drop)

Learn how to navigate the New Calendar, set up mechanic schedules, use capacity indicators to avoid overbooking, and drag & drop jobs to keep your workshop running smoothly.

The New Calendar helps you plan work across mechanics with clearer timeline views, per-mechanic schedules (working hours + daily capacity), drag & drop scheduling, and at-a-glance capacity indicators so you can avoid overbooking.


Getting Started

1) Choose a view (Day / Week / Month / Timeline)

Use the view selector in the toolbar to switch between different ways of looking at the schedule.

2) Set up mechanic schedules

If mechanic working hours/capacity aren’t configured, the calendar can look “available” when the team actually isn’t, or allow bookings when you don’t want them.


Views (When to use what)

DAY VIEW

Best for detailed planning and moving jobs around time slots.

WEEK VIEW

Best for seeing workload across the week and balancing jobs.

MONTH VIEW

Best for higher-level visibility (less detail per day).

TIMELINE VIEWS (MECHANICS SIDE-BY-SIDE)

Best for planning across multiple mechanics at once, spotting gaps, and distributing work fairly.


Mechanic Scheduling (Working Hours + Daily Capacity)

Each mechanic can have their own:

  • Working hours (when they can be booked)

  • Daily bookable capacity (how many hours can be assigned per day)

Why it matters:

  • Prevents overbooking (hard limit on assigned hours)

  • Produces more accurate availability and capacity indicators

  • Makes “free time” on the calendar meaningful

How to set it up:

  1. Click Configure (or open Mechanic Availability/Schedules).

  2. Set working hours for the mechanic (per day as needed).

  3. Set daily capacity / booking limits.

  4. Save and review the calendar for that mechanic.

Capacity Planning (Avoid Overbooking)

In timeline views, you’ll see capacity indicators that compare:

  • Booked hours vs available hours

Use this to:

  • Spot overloaded days early

  • Identify mechanics with availability

  • Decide if you can accept more work in a date range


Drag & Drop Scheduling

You can move jobs by dragging them:

  • Between time slots

  • Between mechanics (in timeline views)

Best practice:

After moving a job, double-check duration, start/end time, and mechanic assignment if your workflow requires it.

Sidebar (Find Work Fast)

Use the sidebar to:

  • Search jobs

  • Filter by status/criteria

  • Drag jobs onto the calendar to schedule them

  • Control what you see (depending on your settings)


Tips for Accurate Scheduling

  • If availability looks wrong, confirm mechanic schedules (working hours + capacity) first.

  • Use timeline views when planning across multiple mechanics.

  • Watch capacity indicators before accepting or moving large blocks of work.


Troubleshooting

“Why does it look like we have availability when we don’t?”

A mechanic’s working hours/capacity may not be configured (or may be too permissive).

“Why can I overbook a day?”

Daily capacity/booking limits may be too high or not set for that mechanic/day.

“Why can’t I schedule something at a time I expect?”

Working hours may not include that time, or capacity is already fully booked.
