Delete a job, invoice or sale

Take a test, duplicate or mistake off the list, together with its invoice, and put it back later if you need it.

Delete takes a job off your jobs list. Its invoice goes with it. A counter sale that has never been sent can be deleted on its own.

Cancel is the other action. Use Reject Job or Mark As Cancelled by Customer when the booking happened and should stay on record as cancelled. If any money has been taken, Workshop will ask you to cancel rather than delete.

Only owners and admins see Delete job....

Delete a job

  1. Open the job from the Calendar, List or Board.

  2. Open the three-dot menu at the top right of the job card.

  3. Choose Delete job....

  4. Read what will happen, then choose Delete job.

You can also open Delete job... from the three-dot menu on a jobs list row, or from the board card menu. On the invoices list, a job’s invoice offers Delete job... as well. Deleting the invoice on its own is not available, because the job and the invoice stay together.

To delete several jobs, tick them on the jobs list or the board, choose Delete jobs..., and confirm once for the selection.

After it deletes, a message says the job was deleted. Undo on that message puts it straight back.

What you confirm

The confirm step names the job, for example Delete job #193?. It tells you the invoice is deleted too, and that you can restore it later from the deleted jobs list.

Tell the customer

The checkbox only appears when the customer already knows about the booking: they booked online or through the booking widget, or you have already sent them a message or the invoice, and they have an email address or a phone number.

It is unticked. Nothing is sent unless you tick it.

The label uses their name, for example Tell John the booking was removed. Once it is ticked, Workshop shows the Booking removed message filled in for this job: who it goes to, and the words they will receive. You see each channel that will actually send. If email is on and text is off, only the email is shown.

Note for the job history (optional) is stored on the job. The customer does not receive it.

If they have never been told about the booking, there is no checkbox and no message. That is the usual case for a test job or a duplicate.

The Booking removed message

Booking removed is in Messaging → Message Templates. Email and text both start switched off, so you can translate it or rewrite it before anyone receives it. The Enabled column shows a cross for each channel that is off.

Turn a channel on only when you are happy with the wording: open the template and switch on Email Enabled, SMS Enabled, or both. The message is sent in your workshop’s voice, the same way as your other customer messages.

If you tick the box while both channels are still off, the confirm step says nothing will be sent.

Delete a counter sale

  1. Open Invoices.

  2. On the counter sale, open the three-dot menu and choose Delete....

  3. Choose Delete invoice.

A counter sale that has already been sent to the customer cannot be deleted. Cancel it instead, so the record they were given stays. Several counter sales can be deleted together with Delete invoices....

When Workshop will not delete it

The confirm step explains the block. The usual ones:

  • Money has been taken. Cancel it instead. A card payment that has only been authorised, and not taken, is released when you delete.

  • A card payment is still going through. Wait until it has settled, then try again.

  • The invoice has been sent and your workshop locks sent invoices. Cancel it instead.

  • The sale has been sent to the customer. Cancel it instead.

  • This is a job’s invoice. Delete the job, which takes the invoice with it.

Put it back

There is no time limit.

  1. On Jobs, switch on Show deleted jobs. On Invoices, switch on Show deleted invoices.

  2. Open the three-dot menu on the row and choose Restore.

  3. Confirm.

Restoring a job brings its invoice back with it. If you are looking at an invoice that was deleted with its job, restore the job. Restoring an invoice on its own is for a counter sale.

If that invoice number has since been used by a newer invoice, the restored one takes the next free number. Workshop tells you when it has done that.

If the customer was told the booking was removed, restoring the job tells them it is back on, using your Booking accepted message.

Undo on the “deleted” message restores immediately. Restore from the deleted list always asks first.

What the customer sees

Their booking tracking link shows that your workshop removed the booking, when, and how to contact you. It does not ask for a verification code, and it does not show the job. Chat on that page is closed. Restoring the job brings the tracking page back.

Their invoice payment link says the invoice was withdrawn and there is nothing to pay, with your contact details.

If a delete or a restore does not match what you see here, contact Support with the job or invoice number and the message Workshop showed.
