Guide: Exporting Revenue Data from Workshop

This guide will walk you through the process of exporting your workshop's revenue data for a specific month.

Steps:

  1. Navigate to the Payments Section: In your Workshop by bikebook system, locate and click on the "Payments" section. This is typically found in the main navigation menu.

  2. Access the Invoices Area: Within the "Payments" section, find and select "Invoices." This will display a list of your workshop's invoices.

  3. Initiate Revenue Export: Look for the "Export Revenue" button, usually located in the top right corner of the "Invoices" page. Click on this button.

  4. Select the Desired Month: A prompt or dropdown menu will appear, allowing you to choose the specific month for which you want to export the revenue data. Select the correct month from the options provided.

  5. Confirm and Export: Once you have selected the month, there will likely be a button to confirm your selection and initiate the export. Click on this button (it might say "Export," "Download," or something similar).

  6. Locate the Exported File: The system will then generate a file containing your revenue data for the selected month. This file is usually downloaded to your computer's default download location. Common file formats for this type of export include CSV (Comma Separated Values) or Excel (.xlsx).

Directly viewing revenue per mechanic might require a few more steps after you've exported the data, as the system's direct interface might not offer this specific breakdown. Here's a general approach using the exported data:

  • You have successfully exported the revenue data following the steps in the previous guide.

  • You have a spreadsheet program installed on your computer (e.g., Microsoft Excel, Google Sheets, LibreOffice Calc).

Steps:

  1. Open the Exported File: Locate the downloaded revenue data file and open it using your spreadsheet program.

  2. Identify Relevant Columns: Once the file is open, you'll need to identify the columns that contain the following information:

    • Invoice Amount/Total: This column will show the total revenue for each invoice.

    • Mechanic/Technician: There should be a column that identifies the mechanic or technician who performed the work on each invoice. This might be labeled "Mechanic," "Technician," "Assigned To," or similar.
