Analytics metrics explained: what each widget means

Use this glossary article when you need the plain-language definition behind a widget and want to understand what is, and is not, being counted.

What this means

This article is the definitions layer for Analytics. If someone asks what does this widget actually count, this is the place to check before changing filters or escalating the issue.

Every widget respects the dashboard date range, included business data, and any active widget filters. Some widgets also use specific status rules or date fields, which is why two related widgets may not move in exactly the same way.

The same dashboard can show finance, operations, customer, and inventory widgets side by side, but each widget still has its own definition.

Before You Start

  • Check whether the widget is using Created at, Charged On, Start Date, Review at, or an As at snapshot date.

  • Check whether the widget is about invoiced value, cash received, profit, or tax paid. These are different questions.

  • If filters are active on the widget, the definition below still applies, but only to the filtered subset.


Finance widgets

Invoiced KPI Summary

Daily counts of issued invoices, paid invoices, and invoiced sales. Use it for a compact billing summary rather than cashflow tracking.

Supported view: Table

MSF Fees Collected

Franchise or application fees collected through Stripe. This is a specialist finance widget, not a workshop revenue widget.

Supported views: Bar, KPI, Line, Table

Tax Paid

Tax on paid invoices issued in the selected date range, limited to accepted jobs or standalone invoices. This is closer to tax on money actually paid than tax on every invoice ever created.

Cash Received

Daily payments received for pending and paid invoices. Use this for money in, not for all invoiced value.

Supported view: Table

Financial Performance

Daily average invoiced value and gross profit for pending and paid invoices. Use it when you want to combine revenue quality with value per invoice.

Line Item Summary

Daily line item revenue, cost, profit, and margin for pending and paid invoices. This is a detail-oriented finance summary rather than a single headline metric.

Cash Received by Payment Method

Valid payments received in range, split by payment method. Use it to understand how customers are paying rather than how much was invoiced.

Supported views: Bar, Line, Pie

Invoiced Sales

Total invoiced sales for pending and paid invoices. This is a sales-value view, not a payment-received view.

Supported views: Bar, KPI, Line

Gross Profit and Invoiced Sales by Work Type

Invoiced sales and gross profit split by work type. Use it to compare where revenue and profit are coming from across labour or custom work types.

Operations and workforce widgets

Ageing Jobs

Current jobs older than 30 days that are still open, excluding rejected, cancelled, completed, and custom-status jobs. Use it to spot backlog, not to count every historic long-running job ever closed.

Ageing Jobs Over Time

Daily count of ageing jobs in the selected date range, excluding custom-status jobs. This shows backlog movement over time rather than the current backlog snapshot only.

Booked Minutes

Daily minutes booked for services. This is a scheduling workload view, useful alongside capacity or mechanic filters.

Capacity Grid

Capacity versus booked hours for each mechanic. Use it to see under-booked and over-booked mechanics across the selected period.

Jobs Created

New jobs created over time. This helps track demand entering the workshop pipeline.

Job Status

Distribution of job statuses. Use it to see whether work is flowing or bunching up in one status.

Supported views: Bar, Line, Pie

Top Items Serviced

Ranked list of the items serviced most often in the selected date range. Use it for demand patterns rather than revenue analysis.

Inventory and customer widgets

Inventory Value

Snapshot of inventory retail value and inventory cost value over time. The retail figure and cost figure answer different questions, so do not treat them as substitutes.

New Customers

Customers created over time. This is a customer-growth signal, not a repeat-visit measure.

Customer Reviews

Customer reviews created over time. Use it to watch review volume and trend, not only rating quality.

How to read metrics safely

  • Read the widget title and the date axis together. The date field differs by widget.

  • Check whether the widget is based on invoiced value, money received, or a snapshot value.

  • Check status scope before comparing analytics to another export or report.

  • When numbers differ, confirm filters, included business data, and comparison range before assuming the metric is wrong.


Common setup mistakes

  • Treating invoiced sales as if it were the same as cash received.

  • Treating inventory retail value as if it were inventory cost value.

  • Assuming ageing jobs includes completed or cancelled work.

  • Using customer review count as a quality score without looking at the underlying review detail.


Troubleshooting

  • If a number does not match a separate export, first compare the date field and status scope used by each source.

  • If profit or tax looks unexpectedly low, check whether the widget is based on paid invoices, pending and paid invoices, or accepted jobs only.

  • If a metric needs local workshop language around it, explain that in the dashboard description or supporting help article rather than renaming the metric to something inaccurate.
