This guide says bike. If your workshop is set up for vehicles or another category, you will see that word instead.
What you see first
A new board starts like this:
Columns are statuses, with no row grouping.
Cards are ordered by due date, latest first.
Empty columns are hidden.
The toolbar shows how many jobs have open work, and the value of that work.
Finished jobs from the past week are included. Unpaid finished jobs stay on the board however old they are. Completed jobs that have been paid are hidden.
Each card has a strip of its status colour down the left edge.
Open Display, on the right of the toolbar, to change any of this. A coral dot on a row means you have changed it from the workshop default. Put the control back to the default and the dot goes. Admins can choose Set default for everyone at the bottom of Display.
Columns and rows
Columns are the groups across the top. Rows are the lanes down the side. Rows can be No grouping, which is how a new board starts.
You can group by status, mechanic, quote approval, payment, billing type, booking source, logistics, customer, bike type, or a date: scheduled, bike in, bike out or due. A custom field that is a single choice or a yes/no can be a grouping too.
A useful workshop layout is mechanics across the top and statuses down the side, so you can see who has what.
Order the cards
Ordering, in Display, chooses what the cards in a column are sorted by. The arrow beside it switches between ascending and descending. A new board sorts by Due, descending, so the latest due dates are at the top. Cards with no due date stay at the bottom.
What a card shows
A card is one bike on a job. A job with two bikes is two cards. The starting card shows the job number, status, mechanic, customer, bike, services, scheduled date, due date, the job's bikes, value, whether it is paid, booking source and when it was created.
Display properties is the list of chips further down Display. A filled chip is on. Click a chip to turn that detail on or off for every card. Bike in, bike out, billing type, logistics and quote approval start turned off. Your own job fields appear here too.
Card style, at the bottom of Display, is where the card's look lives. Status colour starts as Left edge. The other choices are Off, Top edge, Border and Thick border. The same page has overdue dates in red, density, text size, whether the title is the bike or the customer, how many service lines show, and how the mechanic is labelled.
Change one job
Click the coloured ring to change the job's status. Click the mechanic's picture to assign someone. An empty picture is an unassigned job.
Click the card itself to open the job.
Drag a card to another column, or another row, to change whatever that column or row is. Dragging a card from one status to another changes its status. Dragging it onto another mechanic assigns it. Some groups cannot be changed by dragging, such as payment. Those cards do not move.
Right-click a card for quick actions: open the job, change status, assign a mechanic, print, and the rest of the job menu.
Finished jobs
Completed jobs, under Board options in Display, chooses how far back finished jobs go: None, Past week, Past month, Past 3 months, or All. Past week is the start. Unpaid ones from any date keeps finished jobs that have not been paid, however long ago they were finished. Hide completed paid jobs takes paid, finished jobs off the board. Both of those start on.
A finished column shows its full count. Older jobs in that window load as you scroll, or from Load more at the bottom of the column.
Full screen
Full screen, on the right of the toolbar, hides the sidebar and the top bar. Press Esc, or the same button, to leave it.
The name at the top left is a menu. On your own board it says Board. Inside a saved view it says that view's name. Open it to switch to the main board or to any view you can see, without leaving full screen. Favourites are listed first.
On a phone
On a phone the columns stack, and each column scrolls on its own. Swipe inside a column to move through its cards.
