Guide: Save and share board views

A view is a saved board: its columns, rows, ordering, card details, filters and the rest of Display. Use one for the workshop TV, one for parts, one for your own jobs.

Save the board

  1. Set the board up the way you want it, including any filters.

  2. Click the save icon in the toolbar.

  3. Give the view a name, an icon, a colour and, if you want, a description.

Who can see it

A new view is Only me until you change it. Only me means you are the only person who can open it. Everyone in the workshop means the rest of the team can open it and star it into their own sidebar. They cannot change the view's shared setup unless they are allowed to edit it.

The choice is on the view editor, and again later under the view's … menu, Edit view.

Find it again

The star beside the view's name adds it to your sidebar, under Jobs, with its icon. Choose Remove from sidebar on the same star to take it off. The view is not deleted.

Jobs, then Views, lists every view you can see. Search, open, star or delete them from that page.

The … menu on a view you have open can edit it, duplicate it, copy its address, or delete it. Deleting a shared view removes it for everyone who can see it.

Switch while the board is full screen

Full screen hides the sidebar, so the starred views are not on screen. The name at the top left of the board is the way across. Open it and choose Board, or any saved view. Full screen stays on. Leaving the board, for example to the job list, leaves full screen.

Suggested views

The Views page starts with suggested views. Each one can be added in one click, which creates a normal view you can then change, or dismissed.

  • My jobs. Jobs assigned to whoever opens it, in status columns.

  • Mechanic workload. A column per mechanic, with a row per status. Finished jobs are not included.

  • Waiting on parts. Jobs that need parts ordered, or are waiting for them, by mechanic.

  • Ready to collect. Finished work waiting for the customer, by collection date.

  • Schedule. Open jobs by scheduled date.

  • Payments to chase. Unpaid jobs by status, including finished ones from any date.

A suggestion that needs a status your workshop does not use is not shown.

Your own tweaks

Filters belong to the view. Change them and the toolbar offers Revert and Save. Save writes the filters into the view for everyone who uses it. If you cannot edit the view, the button is Save as new view.

Display is different. If you change a Display setting, it is remembered for you only. A coral dot on that row means it differs from the view's default. Put the control back and the dot goes. Reset puts all of your display tweaks back. On your own board, the dot means it differs from the workshop's default.

An admin, or the person who owns the view, can choose Set default for everyone. That saves the display they are looking at as the default. There is a further choice to replace what other people have changed themselves.

Change several jobs

Ctrl-click, or Command-click on a Mac, selects cards. Shift-click selects a range in the same column. The bar that appears can change status, mechanic, billing type and the other bulk actions the board allows.
